Accident book
First aid and accident records, Admin view only. Records are append-only to preserve the original entry and maintain a clear audit trail. If a correction is needed, add a follow-up record rather than altering the original.
Retention & data protection
These records contain health information, which is special category data under UK GDPR. They're stored so only a logged-in Admin can read them, and they're never shown publicly. Signatures are stored as part of the record and are covered by the same protection.
Accident records involving a child should be kept until that child's 25th birthday (check your own insurer's and British Cycling's current guidance, as schemes differ — some say 21). Adult records should be kept at least 3 years. Nothing here is deleted automatically. Records marked Under 18 are the ones needing the longer retention — that flag is the only reason the form asks, and no date of birth is collected anywhere in this app.
Serious injuries may be reportable to the HSE under RIDDOR, usually within 15 days. Tick "May be RIDDOR reportable" when recording so it can be reviewed — this app doesn't report anything on your behalf.
Export a CSV periodically and keep a copy somewhere safe as a backup.
Compliance & Renewals
Volunteer qualifications (First Aid, DBS, coaching awards) and club-level renewals (insurance, domain, affiliation) in one place. Only dates are tracked here — never DBS outcomes or certificate numbers, which are more sensitive and handled separately.
Membership
Membership types, renewal tracking, and payment. This records what the club has confirmed — there's no live sync with British Cycling or any other governing body.

Membership application — data collected
Name and membership type are always collected. Choose what else the public Join form asks for — Parent/guardian name is always requested automatically whenever an applicant is under 18 (via date of birth if collected, or a plain "under 18" tick if not), regardless of these toggles.

Membership application — custom questions
Anything extra to ask each applicant — dietary requirements, how they heard about the club, a T-shirt size, anything club-specific. Asked once per person on the application, same as the built-in fields above.
Who changed high-value settings — club identity, pricing, access, what's collected on applications — and when. Super Admin/Developer only. Everyday actions like bookings and orders aren't logged here; this is for oversight of admin-level changes, not a full activity log.

Use the buttons above the text box — Heading, Bold, italic, Underline, bullet list, link, and quick-insert buttons for the club name and email — to format as you type. No need to type any special symbols by hand, and everything's substituted automatically from Club Settings.

Club Features
Turn off anything this club doesn't use — its menu item disappears entirely, for everyone, not just hidden from view. Super Admin only; no named user's access can change this.
Create up to 10 named logins, each with only the access they actually need. The Super Admin passcode (yours) always has every scope and isn't listed here.

Developer support access
The developer's own login has no standing access to the confidential Welfare Log — it only holds welfare access while a support window like this is deliberately open, and only for as long as the time limit below allows. Every read while it's open is recorded in the Welfare Log's own access history, same as anyone else's.

Passcodes and users
Set in Netlify under environment variables — ADMIN_PASSCODE (Super Admin, full access), POS_PASSCODE (till only), TREASURER_PASSCODE (the hidden /expenses screen only, no accident records), and DEVELOPER_PASSCODE (support access, no welfare log unless a time-limited window is opened for it — see the Welfare Log page).
For committee members and volunteers, named users are the better option — see Users in the nav. Each named login gets only the access it actually needs (Sessions, Finance, Safeguarding, Welfare, Content, Kit, Till), rather than sharing one all-powerful passcode. Up to 10 named users, and unlike the fixed passcodes, removing someone's access just means deleting their user — no need to change a shared code and tell everyone else the new one.
The ADMIN_PASSCODE itself should still be kept to a small number of people, since it can't be scoped down or attributed to one person the way a named user can. Change any passcode that's leaked or that a leaving committee member knew.
